What personal data we collect and why we collect it

We collect personal data that you provide to us directly, data generated automatically through your interactions with our site, and transactional data created when you place an order. We collect this information so that we can operate the site, fulfill orders, communicate with you, comply with our legal obligations, and improve our products and services. Where required by law, we rely on your consent; otherwise we rely on the performance of our contract with you, our legitimate business interests, or compliance with legal obligations as the basis for processing.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

If you submit a contact form on our site, we collect the information you provide (such as your name, email address, and the contents of your message) so that we can respond to your inquiry. We retain contact form submissions for [period, e.g., 12 months] for customer service purposes. We do not use information submitted through contact forms for marketing purposes unless you have separately opted in.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me,” your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

We also use cookies to keep track of cart contents while you’re browsing our site.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We use [analytics provider, e.g., Google Analytics] to understand how visitors use our site. This service may set cookies and collect information such as your IP address (often truncated for anonymization), pages visited, time spent on pages, and referring URLs. You can opt out of analytics tracking by [opt-out method — e.g., installing the Google Analytics opt-out browser add-on at https://tools.google.com/dlpage/gaoptout]. The analytics provider’s privacy policy is available at [provider URL].

What we collect and store (store-specific)

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed.
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping.
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes such as:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our store offerings
  • Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.

We will also store comments or reviews, if you choose to leave them.

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent
  • Customer information like your name, email address, and billing and shipping information

Our team members have access to this information to help fulfill orders, process refunds and support you.

Who we share your data with

We share information with third parties who help us provide our orders and store services to you, including payment processors, shipping providers, tax-calculation services, email and marketing platforms, analytics providers, and customer support tools. We link to their privacy policies below where applicable.

If you request a password reset, your IP address will be included in the reset email.

Payments

We accept payments through PayPal. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information.

Please see the PayPal Privacy Policy for more details.

[If you use additional processors such as Stripe, Square, or others, list them here and link to their privacy policies.]

Caching (LiteSpeed Cache)

This site utilizes caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary. We may use QUIC.cloud services to process and cache your data temporarily. Please see https://quic.cloud/privacy-policy/ for more details.

Tax and shipping (WooCommerce Tax / WooCommerce Shipping)

We use WooCommerce Tax and WooCommerce Shipping to calculate sales tax and shipping rates. Using these extensions may involve storing personal data or sharing data with external services. See https://jetpack.com/support/for-your-privacy-policy/ for further details.

Spam protection (Akismet)

We collect information about visitors who comment on the site using our Akismet Anti-spam service. The information collected depends on how Akismet is configured but typically includes the commenter’s IP address, user agent, referrer, and site URL, along with other information directly provided by the commenter (such as their name, username, email address, and the comment itself).

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We generally store information about you for as long as we need it for the purposes for which it was collected and used, and where we are not legally required to keep it for longer. For example, we will store order information for [XXX] years for tax and accounting purposes. This includes your name, email address, and billing and shipping addresses.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Depending on your location, you may also have the right to access, correct, restrict, or object to the processing of your personal data; the right to data portability; the right to withdraw consent; and the right to lodge a complaint with a supervisory authority. To exercise any of these rights, please contact us using the details provided below.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

Your information may be transferred to, stored, and processed in countries other than the one in which you reside, including the United States, where our hosting and certain third-party service providers operate. Where personal data of European residents is transferred outside the European Economic Area, we ensure that an adequate level of protection is in place through approved transfer mechanisms such as the European Commission’s Standard Contractual Clauses or binding corporate rules.

How we protect your data

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information, including encryption of data in transit (TLS/HTTPS), restricted access controls, secure password storage, and regular software updates. Members of our team who handle personal data receive periodic training in data protection. [If you have carried out a Privacy Impact Assessment, mention it here.]

What data breach procedures we have in place

We maintain internal procedures for detecting, investigating, and responding to suspected or actual data breaches. In the event of a breach that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority and affected individuals as required by applicable law.

What third parties we receive data from

We may receive information about you from third parties, including payment processors (for fraud-prevention and verification), shipping carriers (for delivery status updates), and analytics or advertising partners. We use this information for the purposes described in this Privacy Policy.

What automated decision making and/or profiling we do with user data

[If applicable: describe any automated decision making — e.g., fraud screening at checkout, personalized product recommendations — and how users can request human review or object. If not applicable, state: “We do not engage in automated decision making or profiling that produces legal or similarly significant effects.”]
